Uniform Fitting

A uniform fitting event allows parents and caregivers to book a time to visit your uniform shop or collect uniform information. Unlike other event types, uniform fitting events don't use individual staff bookings. Instead, you set the number of fittings that can happen simultaneously.

Uniform fitting events are flexible and can be configured for registration only (collecting sizes and orders) or registration with bookings (scheduled fitting appointments).

Choosing your uniform format

Registration Only

Best when you:

  • Just need to collect uniform sizes for ordering
  • Take uniform orders without in-person fittings
  • Distribute pre-ordered uniforms without appointments
  • Run drop-in uniform shop hours

How it works: Families register and provide size information or uniform orders. No specific appointment times.

Registration with Bookings

Best when you:

  • Have limited fitting room capacity
  • Want to control crowd sizes in your uniform shop
  • Need to schedule specific fitting times
  • Have limited staff to help with fittings

How it works: Families book a specific time slot for their uniform fitting based on available capacity.

Step 1: Create your event

Event ManagersAdministrators

Sign in to Schoolea and select Start an Event from the Events menu.

  1. Choose Uniform fitting as your event type
  2. Select your format (Registration only or Registration with bookings)
  3. Fill in the basic details:
    • Event name - e.g., "2026 Uniform Fittings" or "Year 7 Uniform Collection"
    • Description - Information about the fitting process, what to bring, etc.
    • Location - Where the uniform shop/fitting area is located
    • Event dates - When fittings will take place
    • Booking open/close dates - When families can register or book

Step 2: Set fitting capacity (if using bookings)

Unlike other events, uniform fittings use capacity instead of individual staff members.

For Registration with bookings events:

  1. Set the number of concurrent fittings - How many families can be fitted at the same time

    • Example: If you have 3 changing rooms, set capacity to 3
    • Example: If you can help 5 families at once, set capacity to 5
  2. Configure time slots:

    • Duration (typically 15-30 minutes per fitting)
    • Available times for fittings

Consider your physical space and staff availability when setting capacity. It's better to be conservative and increase capacity later if needed.

Step 3: Set up your registration form

Customize what information you collect from families:

  1. Go to the Registration Form tab
  2. Add questions to collect:
    • Parent/caregiver information:
      • Name and contact details
    • Student information:
      • Student name
      • Current size/measurements (if known)
      • Year level or grade
    • Uniform needs:
      • Which uniform items needed
      • Quantity for each item
      • Sizes (if known)
      • Special requirements

For registration only events, use the form to collect detailed uniform orders. For booking events, you might collect basic info and do detailed sizing during the appointment.

Step 4: Configure event settings

Review additional settings:

  1. Event visibility:
    • Private - Most common for uniform fittings (only current families)
    • Public - If you sell uniforms to anyone
  2. Reminders - Set up automatic reminders for booked appointments
  3. Booking limits - Consider limiting bookings per family if needed

Step 5: Publish and share

Once configured:

  1. Change your event from Draft to Private (or Public)
  2. Share with families:
    • Send the event code to current families
    • Include in enrollment welcome packets
    • Post on your school portal or parent communication system

Step 6: Manage bookings and fittings

As bookings come in:

  • View all registrations in Attendees
  • Check the Bookings schedule
  • Monitor capacity and add more time slots if needed
  • Export data to track uniform orders

Step 7: Run your fittings

On fitting days:

  • Have the booking schedule available for reference
  • Use check-in to track who has arrived
  • Process uniform sales or orders
  • Note any items that need to be ordered or aren't in stock

Step 8: Follow up

After fittings:

  • Review statistics on attendance
  • Follow up with families who didn't attend
  • Notify families when back-ordered items arrive
  • Track uniform distribution

Tips for successful uniform fittings

For booking-based events

  • Be realistic with capacity: Don't overbook your space or staff
  • Build in buffer time: Consider 5-10 minute buffers between time slots for cleanup/reset
  • Send reminders: Automatic reminders reduce no-shows
  • Have a waitlist process: If slots fill up, collect contact info for cancellations

For registration-only events

  • Collect detailed information: Get comprehensive size and order details in the form
  • Provide size guides: Link to sizing charts or measurement instructions
  • Set clear expectations: Explain the ordering/collection process clearly
  • Confirm orders: Follow up with families to confirm what they ordered

General tips

  • Stock management: Track what sizes/items are popular to maintain inventory
  • Payment processing: Schoolea doesn't process payments - handle that separately
  • Multiple sessions: Consider different sessions for different year levels
  • New families: Offer extra time or support for families new to your uniform requirements

Common scenarios

Back-to-school fitting rush

Set up multiple days with high capacity. Consider different time blocks for different grades to spread out demand.

New student enrollment fittings

Create a separate event for new students who may need more time and assistance with sizing and uniform requirements.

Uniform collection (pre-ordered)

Use registration-only format. Families register when they'll collect, but no strict time slots. Just track who's coming.

Size exchange program

Create a "Uniform Exchange" event where families can swap outgrown uniforms. Registration-only format to collect what they have and what they need.
